Calculators, scorecards, and planning tools for small-business operators

AI-assisted business tools for data-driven operations.

Pick the question. Run the numbers. Leave with a memo. Pressure-test pricing, cash flow, ROI, staffing, and vendor calls. Every tool calculates from your inputs and shows the assumptions behind the answer.

Pro is $99/mo after a 14-day free trial - no card to start; add billing before day 15 to keep access.

Built From Operator Depth

Useful now. Built to grow.

Working calculators, forecasts, and drafts today; deeper integrations and provider-dependent AI layer in behind explicit approval gates, with trace logs on every run.

Numbers and drafts, not chatbot advice

You enter the numbers and context. BrainStack Studio returns a calculation, scorecard, or draft document with the assumptions shown.

Structured, reviewable runs

Every run shows inputs, calculation notes, recommendation, and review trail. External actions still need a human decision.

Useful before integrations

The live product works as calculators, planners, scorers, and generators today — value before any integration is switched on.

Paid Role Fit

Built for the people who buy, evaluate, and use the outputs

Each paid path has a concrete first value, a named buyer question, and a reason to upgrade — not vague AI promises in place of working tools.

Founder / Operator

Which pricing, runway, hiring, and workflow decisions need structure before the next bet is made?

Paid plans save scenarios, preserve trace history, and turn one-off tool runs into a repeatable workflow.

Run Pricing Optimizer

Agency Owner

Which client delivery, proposal, staffing, and margin workflows need repeatable artifacts instead of manual assembly?

Paid plans organize client work, exports, and reusable decision artifacts so delivery quality scales with the team.

Draft an RFP response

Ops Leader

Where are handoffs, staffing, SOPs, project health, and vendor decisions slowing the workflow down?

Paid plans keep saved sessions, comparison exports, and repeatable workflow reviews available across teams.

Generate an SOP

Technical Evaluator (IT / Systems)

Can BSS produce deterministic outputs, clear traces, API controls, and implementation boundaries that hold up technically?

Pro adds API access, key-bound telemetry, JSON exports, and workflow chaining for serious evaluation.

See risk assessment example

Economic Buyer (Finance / Owner)

What does the team get for the subscription, what remains scoped, and how is value measured without exaggerated claims?

Pricing ties paid value to exports, saved history, API access, support, and sales-reviewed setup instead of broad automation promises.

Making decisions without data?

Pricing decisions made on gut feel instead of margin math

Cash flow surprises because nobody ran the 13-week forecast

Investment proposals that get rejected because the numbers are vague

Hiring decisions made without capacity data to back them up

BrainStack Studio replaces guesswork with structured answers. Here's how.

How It Works

From question to defensible answer — in one focused sitting.

A guided path from operational complexity to a clear, measurable plan.

STEP 01

Discover

Pick the business question: pricing, cash runway, ROI, staffing, vendor risk, lead quality, or a draft operating document. No setup or import wizard required.

STEP 02

Run

Enter your own numbers and constraints. BrainStack Studio calculates the result, flags assumptions, and writes next-step recommendations.

STEP 03

Compare

Compare scenarios such as best/base/worst cases, break-even points, utilization gaps, or vendor scores before committing.

STEP 04

Decide

Save the result, export on paid plans, and bring the memo, scorecard, forecast, or draft to the owner who decides.

Why You Can Trust the Output

Rigor you can verify, proof you can audit

Public proof is either an approved customer entry from the proof registry or a source-tagged product fact. Every tool run still shows the math, assumptions, and decision trail.

Deterministic by design

The calculators are pure functions: same inputs, same answer, every time. No hidden randomness, no model drift — re-run a decision next quarter and reproduce it exactly.

The math is shown, not hidden

Every run exposes the formula, the assumptions, and the decision trail. NPV, payback, break-even, CAC, and contribution margin use standard textbook formulas you can audit.

Public tool-run allowance

One free run per tool per day, no account needed. The free run produces a real memo — sign up free to save it, upgrade to export it.

Human review before action

BrainStack Studio supports the decision and keeps inputs, outputs, and notes attached for a teammate to review. These public tools never send emails, change policies, or move money.

How We Earn Trust

The math is the proof.

Every figure on the /proof page was computed seconds ago by the same engines that power these tools. Re-run any of them with your own inputs and get the identical result.

Deterministic, auditable math

Every result is a pure function of your inputs. Same numbers in, same answer out — re-run it next quarter and reproduce it exactly. No hidden randomness, no model drift.

Published formulas, standard citations

NPV, payback, break-even, and contribution margin use textbook definitions — cited to Brealey, Myers & Allen and Horngren. Check the math against any finance reference. That is the point.

Human review gates, not blind automation

The methodology behind the numbers

These are the standard formulas the engines apply to your inputs. Check them against any finance reference — that is the point.

Net Present Value (NPV)

NPV = Σ Cₜ / (1 + r)ᵗ − C₀

Discounts each future cash flow Cₜ at rate r over period t, then subtracts the initial outlay C₀. Used in the ROI Calculator for multi-year business cases.

Reference: Brealey, Myers & Allen, Principles of Corporate Finance

Payback period

Payback = Initial cost ÷ Net cash inflow per period

How long until cumulative inflows recover the investment. Shown alongside NPV so a short payback never hides a negative NPV.

Reference: Standard capital-budgeting definition

Break-even point

Units = Fixed costs ÷ (Price − Variable cost)

The volume where contribution margin covers fixed costs. The denominator is the per-unit contribution margin.

Reference: CVP (cost-volume-profit) analysis, Horngren, Cost Accounting

Contribution margin

CM = Price − Variable cost per unit

What each sale contributes toward fixed costs and profit. Drives the Break-Even Analyzer and Pricing Optimizer.

Reference: Horngren, Cost Accounting: A Managerial Emphasis

CAC payback

Months = CAC ÷ (ARPA × Gross margin)

Months of gross-margin-adjusted revenue to recover the cost of acquiring a customer — a core SaaS efficiency check.

Reference: SaaS unit-economics convention (e.g. a16z / Bessemer metrics)

13-week cash runway

Endingₜ = Endingₜ₋₁ + Inflowₜ − Outflowₜ

A rolling weekly cash position from your opening balance and projected flows. Flags the exact week the balance turns dangerous.

Reference: Direct-method short-term cash forecasting

Formulas are applied to the numbers you enter. We do not ship default "X% savings" claims or industry benchmarks we cannot source.
